Accessibility & Participant Safety

We are committed to creating an inclusive and accessible event experience. In partnership with ADA accessibility consultants, Happily Ever Accessible, we have planned the following accommodations to support authors, vendors, and attendees throughout the event.

Reasonable accommodations will be provided whenever possible.

If you have already purchased your ticket and would like to request accommodations, please complete the access needs survey (coming soon).

•  The book signing area is located in a space with thicker carpeting than other event areas.
• Thicker carpeting may require additional effort for attendees using mobility devices (wheelchairs, scooters, walkers, or canes).
• Event staff will be onsite to provide assistance as needed.

 The Gaylord Pacific offers ADA-compliant guest rooms designed to support a range of accessibility needs.

• Accessible rooms are limited and subject to availability.
• Attendees requiring an accessible room should request one directly with the hotel at the time of booking and confirm that the room features meet their specific needs.
• Our team is available to assist with event-related lodging accessibility questions.

•  ADA-compliant restrooms are located near the conference center.
• Restrooms will be available to attendees throughout the duration of the event.

  A dedicated ADA accommodations check-in line will be available at event registration.

• ADA-identifying lanyards will be available to attendees who opt in. 
  • Lanyards allow event staff to quickly recognize and support access needs while respecting attendee privacy.
• Attendees needing accommodations not listed in the survey may contact team prior to event or speak with a registration team member onsite.

The venue offers ample ADA-designated parking spaces within the parking garage, located near accessible entrances to the conference areas. These spaces are available on a first-come, first-served basis in accordance with venue guidelines.

For attendees using rideshare services such as Uber or Lyft, a designated accessible drop-off and pick-up location will be available to support easier arrival and departure. Detailed directions and maps, including accessible routes, will be shared with attendees closer to the event date.

The hotel does offer valet at an additional cost, please check with the hotel on the current cost of valet.

 Attendees with specific transportation or access needs are encouraged to contact our team in advance.

Standard ride-share options are available from the hotel to the Gaylord Pacific. There is no shuttle service at this time, please contact the hotel for up to date information.
